CCCS – Employee Emails Are Deleted Every Six Months


This article briefly covers what an Employee must do who is using email inbox to store important student emails.


Using your Inbox to store emails or folders within the Inbox may NOT be the best practice as these emails are deleted every 6 months. Solution to the every 6 month deletion is to use the 18 months, 3 years or 5 years archive folders, as shown below.

Step 1. Decide how important the emails are and what period of time you want to keep them. Then, create the appropriate folders within the 18 months, 3 years or 5 years archive folders.
Step 2. Recommended Practices:

  • Keep student emails for at least three years.
  • Items that are not critical need to be deleted or they will be removed for you after the 6 month timeframe.
